Terms of Service

By accessing or using KAI Recruitment OS, you agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree, do not use the service.

KAI Recruitment OS is a cloud-based recruitment operations platform. It provides tools for candidate intake, CV parsing, candidate intelligence, matching, submissions, client/requirement management, email intake, and related workflows. Features and availability may change as the product evolves.

You must register an account and create or join a tenant workspace to use most features. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must provide accurate and complete information and keep it up to date.

You may use KAI only for lawful recruitment-agency purposes. You may not:

• access or use the platform in a way that violates applicable law;
• share credentials or allow unauthorised users to access your tenant;
• reverse engineer, decompile, or attempt to extract source code;
• interfere with the security, availability, or integrity of the service;
• use the platform to send spam, malware, or unsolicited communications;
• circumvent tenant isolation, role-based access controls, or audit logging.

You are the controller of candidate personal information that you or your users import, upload, receive by email, or otherwise process through KAI. You represent that you have the legal right and, where required, consent to process that information in KAI. You are responsible for the accuracy, lawfulness, and retention of candidate data in accordance with applicable employment and data-protection laws.

You and your authorised users must use KAI in a manner consistent with these Terms, applicable law, and generally accepted recruitment practices. We may suspend access for conduct that we reasonably believe violates these rules or creates legal or security risk.

KAI Recruitment OS and all related software, designs, trademarks, and content are owned by us or our licensors. You retain ownership of your candidate and business data. We receive only the limited rights necessary to operate, secure, and improve the service on your behalf.

KAI may integrate with third-party services, including Google OAuth for mailbox connection. Your use of those integrations is subject to the third-party's terms and policies. We are not responsible for the availability, acts, or omissions of third-party providers.

We use commercially reasonable efforts to keep KAI available. However, we do not guarantee uninterrupted or error-free operation. Scheduled maintenance, unexpected outages, and force-majeure events may affect availability.

We may suspend or terminate your access if you breach these Terms, create legal or security risk, or fail to pay applicable fees. You may terminate your account at any time by contacting us. Upon termination, your right to access the service ceases, and we will handle your data in accordance with our Privacy Policy.

KAI is provided on an "as is" and "as available" basis to the extent permitted by law. AI-generated recommendations, matches, and intelligence are decision-support tools only and do not replace human judgment, compliance review, or legal advice. We make no warranty that the service will meet your specific requirements or be entirely accurate or error-free.

To the maximum extent permitted by law, our aggregate liability arising out of or relating to these Terms or the service is limited to the amount you paid us for the service in the twelve months preceding the event giving rise to liability, or one hundred US dollars if no fees were paid. We are not liable for indirect, incidental, special, consequential, or punitive damages.

These Terms are governed by the laws of [governing-law jurisdiction — configure before launch], without regard to conflict-of-law principles. Disputes shall be resolved in the courts of [competent jurisdiction — configure before launch], unless otherwise agreed in writing.
